Agent Reports

The data collected from QueryTracker members is organized and combined into different reports that describe an agent's query practices.

Note: Though this tutorial references agents, the process is the same for publishers.

To access the reports, go to the "Reports" tab found on each agent's profile page.

There are ten reports available in this section. Six of the reports are available to all QT members. The remaining four reports are only available to premium members.

Accessing Reports

To view reports, go to the "Reports" tab on the agent's profile page.

Choose a Report

Choose from one of the ten reports in the list.

Choose a Timeframe

Choose a timeframe for the report. The report results will only include data that takes place during this timeframe.

Note: Only Premium Members can change the timeframe for reports.

Choose a Genre

Where applicable, select a genre. The report results will be limited to data associated with the selected genre.

Queries Sent/Replied Report

This report shows how many queries were sent to this agent and how many times the agent replied.

Data is broken out between submission requests and rejections.

This information can tell you a lot, for instance...

  • An agent who requests to read more manuscripts is probably seeking new clients more aggressively than an agent who almost never requests manuscripts.
  • An agent with a lot of "No Response" indicators probably does not reply to rejections, and so if you have a query out to this agent and it goes unanswered, then you know you are not alone and you can consider it a rejection.
  • On the other hand, if you haven't heard back from an agent, and that agent has a record of replying to queries, it is okay to send a follow-up inquiry.
  • If an agent accepts more than one query method (Postal Mail, E-Mail, and Online Form) you can check the reply percentages for each method to determine which the agent seems to prefer.

Query Response Times Report

This report shows how long it takes this agent to respond to queries. It shows the response times for different delivery methods as well as positive and negative responses.

Query Rejections Report

This report shows an agent's rejections, indicating the number of form rejections received compared to helpful rejections.

Whenever an author records a rejection in QT, they are given the option to specify if the rejection contained helpful feedback or was a form rejection. This report is sourced from that information.

Manuscript Word Count Report

This report shows a bar chart representing the number of query replies from this agent, sorted by manuscript word count.

Positive replies are shown with a green bar. A positive reply is any reply from the agent requesting a partial, full or book proposal.

Negative replies are shown with a red bar. A negative reply is a rejection or when a query is closed due to no response.

Fiction Genres Report

This report shows the query replies from this agent, sorted by fiction genre.

Positive replies are shown with a green bar. A positive reply is any reply from the agent requesting a partial, full or book proposal.

Negative replies are shown with a red bar. A negative reply is a rejection or when a query is closed due to no response.

Non-Fiction Genres Report

This report shows the query replies from this agent, sorted by non-fiction genre.

Positive replies are shown with a green bar. A positive reply is any reply from the agent requesting a partial, full or book proposal.

Negative replies are shown with a red bar. A negative reply is a rejection or when a query is closed due to no response.

Submission Replies Report

This report shows how many submission were sent to this agent and how many times the agent replied.

Data is broken out based on the reply given by the agent.

Submission Response Times Report

This report shows how long it takes this agent to respond to submissions. It shows the response times for different delivery methods as well as positive and negative responses.

Agents with Similar Tastes Report

This report shows other agents who have shown interest in the same queries as this agent.

Which means, if this agent requested material from you, then these other agents may also be interested.

Reply History Report

This report shows the query replies from this agent over the past 36 months.

Positive replies are shown with a green bar. A positive reply is any reply from the agent requesting a partial, full or book proposal.

Negative replies are shown with a red bar. A negative reply is a rejection or when a query is closed due to no response.

It can help you determine if the agent is more or less busy at different times of the year.
